Position: Accounts Payable Billing and Payables Specialist
Location: Seattle, WA (Hybrid)
Type: Contract-to-Hire
Reports to: Accounting Manager / Finance Supervisor
About the Role We are seeking a detail-oriented and experienced Accounts Payable Billing and Payables Specialist to manage vendor invoicing, payment processing, and related accounting activities. This role ensures accurate, timely, and compliant handling of accounts payable transactions while supporting the billing cycle and financial reporting. The position is hybrid, balancing in-office collaboration with remote work flexibility.
Key Responsibilities - Process and review vendor invoices, ensuring proper coding, approval, and compliance with company policies.
- Manage billing and payment cycles, including checks, ACH, and wire transfers.
- Reconcile vendor statements and resolve discrepancies efficiently.
- Maintain accurate vendor records, including W-9s, contracts, and payment terms.
- Collaborate with internal teams (procurement, operations, finance) to resolve invoice or billing issues.
- Assist with month-end close, including A/P accruals and reconciliations.
- Support 1099 preparation and ensure compliance with regulatory requirements.
- Generate reports and analysis on payables and billing activity to support management decisions.
- Identify process improvement opportunities to enhance accuracy, efficiency, and internal controls.
- Mentor or guide junior A/P staff as needed.
Qualifications / Skills - 3-5 years of accounts payable, billing, or finance experience.
- Strong knowledge of accounting software (NetSuite, QuickBooks, SAP, Oracle, or similar) and Microsoft Excel.
- Excellent organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong communication skills for interacting with vendors and internal stakeholders.
- High school diploma required; Associate's or Bachelor's degree in Accounting, Finance, or related field preferred.
Working Conditions - Hybrid schedule: 2-3 days in-office per week, remainder remote.
- Contract duration: initial 6 months with potential conversion to full-time based on performance.
Compensation - Hourly Rate: $34-$38/hour, depending on experience
- Alternatively, $60,000-$67,000/year (pro-rated for contract period)
